Inland Revenue Small Employers PAYE Online Filing - adding employees

The free filing software - adding employees
Inland Revenue Small Employers PAYE Online Filing

Don't let Fagin rob you blind!!!

This assumes that you are logged in and have already entered your company details. If not check our login guide

Filing your P14s
Assuming you have logged in again you need to click the PAYE link first.
Next click "PAYE software or 3rd party payroll products" (top right currently)
Then "Free PAYE software" at the top of the resulting page. Given the number of pages needed to get this far expect the IR server to croak close to the deadline - get it done NOW!!

You should now be presented with the employee list you entered earlier if you have been following this guide sequentially.
Click on the first of the employees then "P14 End of Year".
Now it is just a case of copying data from your paper form into the electronic one on screen. When all the figures are entered click "Complete a P14 for another employee" and repeat the process until all P14s are entered then click "Go to P35 to submit".

This will take you to a summary form showing all employees. Check the figures shown against your P14s then click "Next" to continue or "Back" to fix any errors.

Filing your P35
The totals from your P14s are carried forward but there are a number of additional values to be entered. Most of these in my case were 0.00 (and I suspect this will be the case for most contractors).
Now enter the figure for "Tax and NIC already paid" and click "Calculate totals".
Check the resulting "Now Payable" figure (probably 0.00) against your paper P35 and if all is well click "Next".
You will be presented with a summary.
Check the figures then (you've guessed it) click "Next".
Now you get a checklist.
You may possibly need to complete a P38 but I didn't and I suspect most contractors will not need to so there are no instructions in this guide for P38s.
Go down the checklist clicking the appropriate radio button - this is hopefully all self evident apart from
6a. Do the rules relating to services provided through an intermediary (sometimes known as IR35) apply to any work carried out by any worker listed on this return? which we all know is a minefield (I clicked no ).
Time for the good old "Next" button again - that server will crash for sure.

Now a "P35 Declaration" - You'll be wanting to send any P11d forms later I think - god only knows why this is there - it looks like they just copied the paper forms onto the web.
Anyway answer the questions, click the declaration, enter your name (twice I guess unless you feel like putting the co-secs name in).
Please note that "Capacity of authorising person" is not 12 pints of lager - it's director or something equally boring. So click "Next" and you will be rewarded with...

You have reached the last step of the P35. If you have completed all sections correctly, you can proceed and submit it. You will need your User ID and Password.

You can print your form(s) from the next screen.

Time for that good old "Next" link again.
I took the opportunity to print the form (which opened a fresh window) then went for bust by entering my userid and password again and hitting "Submit".

My reward -
Your submission is in progress. If you have not had confirmation within 30 seconds please log out and check later

Followed by -
Awaiting confirmation
Your submission has been sent to the Inland Revenue. You can come back later for confirmation.

I decided to hit the good old "Next" link as I've grown quite fond of it this evening. The result was a screen showng that my submission is pending.

I decide to log back in and check the status - long winded I fear - I couldn't see any direct link so went through the screens already mentioned. My reward (twice)..

You cannot access the Online Forms and Returns - PAYE service at this time. You can try again later, or contact the Inland Revenue Online Services Helpdesk.

When contacting the helpdesk you should provide the following message.

Error : TICKETBOOK_EXPIRED

On checking in the morning the status showed "Submitted".

My impressions of the process
It's difficult to specify the time this final process should take as I was writing this guide as I went through. I'd take a guess at 15 minutes tops - whatever your rate you are likely to save money over paying Fagin to do it.

The process was straightforward but a bit longwinded with far too many "Next" clicks to get there. The number of pages served is high but at least they are all pretty small. Will the IR server cope? Who knows - I wouldn't bet on it so get the job done before the deadline.

Do I regret not paying Fagin? Absolutely not!! I just curse the greedy bugger for wanting to charge for adding a tick against my company name in his payroll software.

But there's more...

DON'T FORGET YOUR P11d FORMS IF YOU HAVE ANY

These can either be posted or filed online when the forms become available - currently the website says
Expenses & Benefits (Not available until 20 May 2005)
> P11D(b) Expenses & Benefits
> P9D Batch Submission

As there is no financial incentive to submit these online the choice is yours.

The End

N.B. The IR have an annoying habit of moving their web pages around. We intend to maintain the links we include but you may get a duff one. If you do please contact us to let us know and we will correct it. If you are feeling particularly brave and get a duff link a good place to start on the IR webshite is "online filing" in the search - be prepared to waste a bit of time finding the correct information though.
